Business Profile & General Settings
1. What it is
Business Profile and General Settings are where you define your organisation once for the whole platform. Business Profile holds your legal and operating details: name, timezone, address, compliance information and default work days. General Settings is a hub of cards, each opening its own settings page: branding, sign-in page, languages, operating countries, notification channels and pay rules.
- Access: both need the Admin or Super Admin role. Business Profile is at Admin → Organization → Business Profile. General Settings is at Admin → General Settings → General Settings.
- What it is not: industry, website, company size, description and founding year are no longer on Business Profile. They live in Admin → Organization → Company Profile, and the edit form links there. Per-app rules (scheduling, leave, forms) live in each app’s own settings.
2. Standing it up
- Go to Admin → Organization → Business Profile and click Edit Profile.
- Set Timezone and Business Location (the address, with autocomplete). Locations without their own timezone use this one.
- Under Default Work Days, tick the days your business works. With nothing ticked, Monday to Friday applies.
- Fill in Compliance & Legal Information if you run payroll, benefits or regulatory reporting here. Every field in it is optional. Click Update Business.
- Go to Admin → General Settings → General Settings and open Brand & Theme. Set your colors and logo, then click Apply Theme. Nothing on that page reaches your people until you apply it.
- Open Operating Countries and Supported Languages and pick yours. To show menus and buttons in each person’s own language, turn on Show the web interface in each person’s language on the Supported Languages page.
- Open SMS Settings and switch on Enable SMS Notifications if you want text messages. SMS is off for every new business.
Two pairings that catch admins out:
- A language needs both switches. Adding Spanish to Supported Languages does not translate the interface on its own. The web interface translation switch must also be on.
- An app’s SMS needs the global switch. The per-app SMS toggles under SMS by Application only appear once Enable SMS Notifications is on. SMS then goes only to people with a verified phone number.
3. How it fits together
Business Profile vs Company Profile — Business Profile is the operational and legal record: name, timezone, business type, address, compliance fields and work days. Company Profile describes what your company is: industry, website, size, description and founding year. Apps read those facts from Company Profile, so edit them there.
Locked identity — the email domain, Business ID and business URL are set when the business is created. They show on the edit form as read-only and cannot be changed there.
Work days inheritance — a location’s work days come from the first of these that is set:
- The location’s own setting
- The default for its location level, for example “Manufacturing Plants”
- The business default on this page
Example: the business default is Monday–Friday. The “Retail Stores” level sets Monday–Saturday. A store with no setting of its own works Monday–Saturday; the head office works Monday–Friday. Leave calculations and business-day counts follow the result. The Manage location-specific work days button on the edit form opens the level settings.
Supported languages vs interface languages — enabled languages are the ones your organisation uses for content and communications. English is always included and cannot be removed. When web interface translation is on, the same list becomes the interface languages people can pick. The interface only offers a language whose translation the platform has already published. Any other enabled language stays available for content, and the interface shows it in English. The Supported Languages page lists the languages available for the interface.
Which language a person sees — the web interface uses the person’s profile language first, then your default language, then English. People change it from the language menu in the header. Arabic and Hebrew display right to left. The sign-in pages also show a language menu when more than one language is available.
Brand & Theme is one draft, applied at once — color, logo, sign-in page and CSS changes wait on the page until you click Apply Theme. The last five applied themes are kept under Recent Changes, each with a Restore button. Reset to Default returns colors, fonts and component styles to the defaults and keeps your logo and favicon.
Brand & Theme sections on the settings page:
| Section | What it holds |
|---|---|
| Colors | Your Brand and Accent colors, and the colors your company adds by name. Added colors save as you add them, without Apply Theme; Restore and Reset to Default leave them as they are |
| Logo & Favicon | Logo and browser-tab icon |
| Sign-in page | A panel image and a message beside the sign-in form |
| Navigation | Left navigation colors, including Rail Colors by Group |
| Surfaces & Shape | Page, card and dialog backgrounds, borders, corner roundness, and card style and density |
| Typography & Text | Heading and body fonts, base size, text colors, and your brand fonts |
| Status Colors | Colors for success, error, warning and information messages |
| Mobile App | Phone header and bottom navigation colors |
| Advanced | Custom CSS |
Get my brand from my website reads the logo, favicon and colors from your website and builds a look around them. You adjust it before anything changes. Save as Preset keeps the current look to reuse later. Export Theme saves the theme as a file; Import Theme loads an exported file and replaces your current theme.
4. Running it
Setting up the sign-in page
- Open Brand & Theme and expand Sign-in page.
- Add a Panel image: PNG, JPG or WebP, 1200×1600 or larger, up to 5 MB. It fills the panel beside the sign-in form, cropped to fit. It shows on screens 768px and wider.
- Type a Message of up to 500 characters, such as who to call when someone can’t sign in. It shows on every screen size, as plain text.
- Click Apply Theme. The image and message appear on the sign-in, password-reset, one-time-code and two-step verification pages. On a phone the message appears too — on the page that offers the mobile app and on the phone’s own sign-in pages — without the image.
Uploading a brand font
- In Typography & Text, under Brand fonts, click Upload font.
- Choose a WOFF2, WOFF, TTF or OTF file of up to 2 MB. Give it a Family name and a Type (serif or sans serif).
- Confirm Our licence lets us use this font on our website and apps. The platform records who confirmed it and when.
- Leave This font’s licence allows embedding in email off unless your licence allows it. While it is off, email uses Georgia for a serif font and a standard sans serif otherwise.
- Use Add a weight to upload Bold or Italic as separate files, so bold text uses the real bold.
- Pick the font as the Heading or Body font at the top of the section, then click Apply Theme. Uploads save immediately, but nobody sees the font until you pick it and apply.
A workspace can hold up to 24 font files. If you remove a font that is in use, that text falls back to a standard font until you pick another.
Styling phone pages with Custom CSS
The Custom CSS box under Advanced applies to desktop pages and phone pages. It is applied after the theme, so it overrides the settings above it. To style phone pages only, start a rule with [data-surface="phone"]. It takes effect when you click Apply Theme.
Changing or revealing the Federal EIN
- On the Business Profile edit page, find Federal EIN under Compliance & Legal Information. The current value is masked.
- Click the eye icon to reveal it. You are asked to verify your identity first, and every reveal is recorded in the audit trail.
- To change it, enter the new value as XX-XXXXXXX and click Update Business. You must verify your identity before the save is accepted. Leaving the field blank keeps the current EIN.
Managing operating countries
- Go to Admin → General Settings → Operating Countries.
- Pick your countries. The page shows how many locations and employees are in each one.
- Mark one as the Primary Country and click Save Countries. If you remove the primary country, the first remaining country becomes primary.
Turning Messages on or off
Admin → General Settings → Messages controls whether employees can send 1:1 and small-group messages. The switch turns the Messages app on or off for your whole business, and it needs a Messages licence. Finer rules are on the Messages app’s own settings page.
