Loop App Overview

Loop

1. What it is

Loop tells you whether a change you made actually worked. You name the change and the number it should move. Loop takes a baseline from the day the change took effect, scores the same number afterwards, and waits for a named owner to decide what happens next.

It is built for the people who run improvement work: admins, and managers if you let them in.

  • Enablement: Loop is licensed. If your plan includes it (Platform Standard or Enterprise), it is already available to admins, and the weekly notice in section 5 (Settings) is already on, until an admin disables the app. On any other plan it is off until an admin enables it. Either way only admins see it until manager access is turned on.
  • What it is not: Loop is not where you pause the AI. Pause All AI, Resume All, the approvals queue and action history live under AI Operations in the admin sidebar (/admin/automation-hub). They are there whether or not Loop is enabled.

2. Standing it up

  1. In the admin sidebar, open All Apps, choose Loop, and click Enable App. Skip this step if Loop already appears in your sidebar — your plan includes it.
  2. Open Loop. As a business admin you see eight tabs: Overview, Portfolio, Quarterly Review, Automations, Playbook Runs, AI Outcomes, AI Suggestions and Settings.
  3. Decide who else gets in, under Settings. Admins and Loop app admins always have access. Managers have none until a company admin turns on Let managers use Loop for the locations they manage.
  4. Click Make a plan on the Overview and fill in the plan form (see the worked example in §3). Click Save plan.
  5. Confirm it worked: the plan appears in the Measurement ledger with a status such as Measuring (30d). A plan backdated past its window is scored at once and shows Measured, or Inconclusive when the window held too little data to score. If you saved it as a draft, it appears under Not live yet instead.

Two pairings do nothing until the second half is in place:

  • Manager access needs Access Management too. The switch makes managers eligible. Access Management decides which of them see Loop. Saving the switch on publishes Loop to your users if it was not already published. The Settings page then tells you which state you are in: all managers can open Loop, only managers in the restricted groups can, or no manager can because Loop is not published. Change the audience in Apps → Loop → Manage User Access.
  • Automatic reviews need an owner who can open Loop. Some apps open a plan for you, such as a recurrence review when a safety corrective action is completed. A safety recurrence review or a succession coverage review is opened only when the person responsible can open Loop. While manager access is off, that means a Loop admin, and a manager’s completed action is skipped quietly. Contest and RFP Desk plans go to a business admin instead when their author cannot open Loop.

To see the Overview, Portfolio and Quarterly Review filled before real results exist, click Load sample stories on the empty Overview, or Load Sample Data at the bottom of Settings.

3. How it fits together

A plan, a measurement and a decision

These three are easy to run together. They are separate records with separate owners.

  • A plan is your promise: what changed, which number it should move, and which way. A person writes it.
  • A measurement is Loop’s reading of that number: the level before the change, the level after, and the difference. Loop produces it; nobody types it in.
  • A decision is the owner’s call on a measured result: Keep, Adjust, Expand, Retire or Roll back, with a reason. Expand is offered only when the plan’s number can be measured at a single location and the plan is not already a pilot (a plan you already decided to Expand keeps the choice). A good number promotes nothing by itself.

A worked example, using the plan form’s own fields:

Field Value
What changed? Two-person closing shift at the flagship store
Is it live? Yes — it took effect on the date below
Metric to watch The number you expect the change to move
What do you expect this number to do? Go down
By how much? (optional) 20
Measurement window 30 days

Loop compares the 30 days after the change with the 30 days before it. Suppose the number was 10.00 before and 7.50 after. The ledger row shows a delta of -2.50, the line “from 10.00 to 7.50”, and the badge Hit the plan, because a 25% fall beats the 20% you promised. The owner then sees a Decide button on that row.

How a plan is judged

The plan badge compares what you predicted with what happened:

  • Hit the plan — the number moved the way you said, by at least the amount you named. With no amount named, the right direction is enough.
  • Fell short of plan — right direction, less than the amount you named.
  • Didn’t move — no change at all.
  • Moved the wrong way — the opposite of your prediction.

Color follows improvement, not arithmetic. A number that should fall and does fall shows green.

Status is not the verdict

Each ledger row also carries a status, which says how far the reading has got: Measuring, Measured, Inconclusive or Failed. Only a Measured row can carry a plan badge or be decided. Inconclusive means the window closed with too little signal to call, and the row says why.

Drafts, rechecks and versions

  • A draft is a plan saved with Not yet under Is it live?. Nothing is measured until its owner enters the real date and clicks It’s live.
  • A recheck is a second reading that Loop starts when the owner decides Keep or Expand. It uses the same window length and asks whether the change is still holding. Rows carry a Recheck badge.
  • A version is what Adjust produces. The next version opens prefilled, and the Thread link shows every attempt on one page.

Plans you did not write

A ledger row is not always a plan someone typed. The badge before the title says what was measured. Sample rows carry a Sample badge in front of it.

  • Plan — a change someone declared with a prediction.
  • Change — a plan opened with no stated prediction, such as a safety recurrence review. It is measured but gets no plan badge. A plan that an automation or a contest opened with a direction shows Plan and is judged like any other.
  • Pilot — a kept change being tried at another location.
  • Lesson — a Muscle Memory lesson being measured.
  • Suggestion — an AI suggestion that someone acted on.
  • Action — a completed Mango Signal action.

The empty Overview lists the apps whose completed work starts a measurement by itself. Safety Hub, RFP Desk, Contests and Succession Hub open a plan. Mango Signal, Muscle Memory and Service Desk add a measurement of an action, a lesson or an acted-on suggestion, with no plan behind it. An automation that was given a number to move opens a plan too.

Loop and Muscle Memory

The two are siblings and are often confused. Muscle Memory is what the business remembers: lessons distilled from work that already closed. Loop is how the business tests a change: a baseline, a result and a decision. A lesson can be measured in Loop, and Loop’s The loop card links to your active lessons. Neither app replaces the other, and each is enabled separately.

What Loop hosts, and what stays in admin

Loop hosts four admin pages as tabs: Automations, Playbook Runs, AI Outcomes and AI Suggestions. While Loop is enabled, their old admin addresses send admins into the Loop tabs, so each page has one home. These four tabs need a business admin. A Loop app admin without that role sees Overview, Portfolio, Quarterly Review and Settings only.

The control side never moved. AI Operations keeps Overview, Approvals, Action History, Playbooks, Agents, Channels, Agent Settings and Trust & Safety in the admin sidebar. When Loop is not enabled, Automations and AI Outcomes appear there too.

4. Running it

Decide a measured plan

  1. Open Overview and find the row with a Decide button in the Measurement ledger.
  2. Click the metric name under Measures to open its receipt, if you want the comparison windows behind the result.
  3. Click Decide, choose a decision, and fill in Why? (recorded with the decision).
  4. Click Record decision.

Only the plan’s owner or a Loop admin sees Decide. Everyone else who can read the row sees “Awaiting” and the owner’s name.

Work the Portfolio

Portfolio groups every improvement by what it needs from you: Needs attention, Awaiting decision, Closed without a result, Trying again, Piloting in a new scope, Measuring, Not live yet, Adopted and holding, and Retired or rolled back. Start at the top. A kept change in the holding group can be published for reuse with Save as pattern.

Act on an opportunity card

When your own data supports one, the Overview shows an Opportunities card for admins. Each card ends in an action such as Make a plan, Record the fix or Invite a pilot. Use Dismiss… to remove a card for good or to Snooze 30 days.

Take a review to leadership

Open Quarterly Review for the improvement program by its decision record: what was planned, what was proven, and what was decided. Click Print / save as PDF to hand it on. For one plan, the receipt and the thread link to an evidence pack that prints the change, its measurements and its decision.

Author automations

Business admins create and edit automations on the Automations tab and follow their executions on Playbook Runs. A kept plan with no automation offers Create an automation on its ledger row. A retired or rolled-back plan whose automation is still running offers Pause its automation.

What managers and phones see

A manager admitted to Loop gets the Overview tab alone, with a ledger limited to their own plans and their locations. On a phone, the Overview opens a mobile view with opportunities and the most recent measurements. Making and deciding plans, Portfolio, Quarterly Review, Settings and the four hosted tabs stay on desktop.

5. Settings

All settings are at Loop → Settings. Loop admins can open the page; two switches are reserved for company admins and show as disabled for anyone else.

Setting Who can change it Default What it changes
Let managers use Loop for the locations they manage Company admin Off Makes managers eligible for Loop, and publishes Loop to your users when turned on
Ask Loop advisor in Ask AI Loop admin On Offers the Ask Loop advisor in the Ask AI sidebar to everyone who can open Loop
Weekly improvement-openings notice Loop admin On Sends one in-app notice a week, on Monday at 14:00 UTC, naming the openings that are new since the last notice
Who receives it Loop admin Loop’s admins (app-admin grants, else every business admin) Sends the weekly notice to a group you pick instead; applies only while the notice is on
Earned autonomy Loop admin Off Lets Loop take the next step for practice types that earned it from your own decisions
Share anonymized evidence Company admin Off Counts your organization in cross-customer proof shown on pattern cards

Three things on the page are not switches:

  • Earned tiers lists each practice type with its tier — Observe, Propose or Act — and the evidence behind it. Tiers are computed from your decision record and cannot be set by hand. Loop has no AI-mode dial.
  • Ask Loop lists what the advisor can do. Every answer ends in a ready-made plan that a named person must commit.
  • The sample-data card holds Load Sample Data and Remove Sample Data. Sample rows are always labeled Sample.

6. More help

  • Loop FAQ — specific setup and operating questions, exact limits, and what to check when something is not showing.
  • Muscle Memory App Overview — the sibling app that holds the lessons Loop can measure.
  • Ask AI — the assistant answers questions about Loop from these articles, and Ask Loop answers “what should we do about…?” from your own numbers.
