OKR Hub FAQ

Answers to common setup and operating questions about OKR Hub.
For what the app is and how to set it up from scratch, see the
OKR Hub Overview.

Setup

Do I need to configure anything before my team can start using OKR Hub?

Yes. An administrator must enable OKR Hub from Admin → Apps → All Apps and grant a licence. The app is disabled by default and requires a licence before anyone can access it. Once enabled, review Setup → OKR Hub Settings to set your fiscal year start month, check-in cadence and traffic-light thresholds. All nine feature toggles under Setup → Feature Toggles (Quarterly Planning, Objective Templates, Objective Scoring, Progress Update Forms, Automated Check-ins & Reminders, Objective Confidence Rating, Advanced Analytics, Export Reports, and AI Insights) default to on, so features are available immediately unless you turn them off.

Who can see objectives once OKR Hub is turned on?

By default, all employees see all objectives across the company. This follows the industry-standard OKR transparency model. An administrator or OKR Hub app admin can change this under the Who can view employees’ OKRs? setting to one of three modes: Everyone with access to the app (the default), Managers (of their own team) — each person sees only their own objectives plus their direct reports’, including direct reports who have since left — or Specific people: the chosen groups see everything, and everyone else sees their own plus their direct reports’. Admins, OKR Hub app admins, and HR admins always see everything regardless of the mode.

Permissions and access

Who can create objectives at each level?

Anyone can create department, team and individual objectives. Only an admin, an OKR Hub app admin or HR can create a company-level objective, so the Level picker offers Company only to them.

Who sees which tabs?

  • My Work — everyone.
  • Team — managers, and anyone with direct reports: Team Check-ins, Objectives, Team Objectives, Key Results, Team Key Results and Bulk Update Progress, plus Approve Objectives and the Quarter Planning Wizard when Quarterly Planning is on.
  • Insights (Analytics, Reports, Strategic Cascade, Initiatives) — managers, admins, OKR Hub app admins, HR, and anyone the Who can view OKR reports? setting admits. Everyone else finds Analytics and Initiatives under My Work.
  • Strategy — managers, when the Performance Management app is enabled. Its Performance Management page is the integration overview.
  • Setup — admins and OKR Hub app admins. Its Feature Toggles entry is shown to admins only.

Why can’t an employee see a colleague’s objectives?

Check the Who can view employees’ OKRs? setting. If it is set to Managers or Specific people, employees outside the chosen groups see only their own objectives plus their direct reports’. Switch to Everyone if company-wide transparency is desired. Key-result visibility follows the parent objective’s owner, so if an employee can see the objective they can see its key results. Co-owners of a shared key result can always see that key result.

Day-to-day

How is progress calculated on an objective?

Progress rolls up from the objective’s key results. Each key result tracks a start value, current value, and target value. For an increase goal the current value as a share of the target gives the percentage. For a decrease goal (e.g. reduce churn from 20% to 5%) progress rises as the value falls from start toward target. The business-wide default progress calculation is Average of key results: every key result except cancelled ones counts equally (key results cannot yet be weighted individually). Admins can change the default for new objectives to Manual Entry in OKR Hub Settings. Each objective can also set its own calculation mode (Manual, Auto, or Hybrid) on its Edit page.

How does scoring work?

Scoring uses a 0.0 to 1.0 scale. The automatic score suggested for an objective is the average of its key results’ scores (or their progress if unscored), leaving out cancelled key results. The grade depends on the objective’s type:

  • Committed: below 0.7 is Did Not Deliver, 0.7 up to 1.0 is Delivered, and exactly 1.0 is Delivered Fully.
  • Stretch: below 0.3 is Significant Miss, 0.3 up to 0.7 is On Target (the typical outcome for a stretch goal), 0.7 up to 1.0 is Exceeded, and exactly 1.0 is Perfect.

Only a completed objective can be scored — by its owner, someone above the owner on the reporting line, or an admin. Once scored it can no longer be edited. Scoring is an admin toggle (Objective Scoring) and can be turned off.

What happens when a key result reaches its target?

The key result is not automatically marked complete. Reaching the target surfaces the Mark Complete action, and the owner must click it. This is intentional — it gives the owner a chance to verify the result before closing it. If a completed key result is later corrected back below its target, the status reverts to active and Mark Complete reappears.

Can a completed objective be reopened?

Yes, until it is scored and while its end date has not passed. Open it and choose Reopen; it becomes active and editable again. Its owner, someone above the owner on the reporting line, or an admin can reopen it. A cancelled objective is different: only an admin can bring it back with Reactivate, and only until its end date.

How do check-ins work?

Check-ins run on the cadence set in OKR Hub Settings: Weekly, Biweekly, or Monthly (default is Weekly). While check-in generation is on, OKR Hub creates one for each owner of an active objective every period. Each check-in captures a confidence rating (On track, At risk, or Off track), a progress summary, blockers, needs, and next-period priorities. The owner can attach files and add emoji reactions.

The check-in’s reviewer is the author’s nearest active manager on the reporting line; an admin, an OKR Hub app admin or HR can also review any check-in. The reviewer can leave written feedback and edit it afterwards. Until a check-in is reviewed its author can edit it, and a completed, unreviewed check-in can be deleted by its author (or an admin).

Reminder notifications go out on the Reminder Day set in OKR Hub Settings (default: Thursday), in the morning UTC — there is no time-of-day setting. A check-in is reminded once it is due within three days, and reminders stop 30 days after its date passes.

Can I roll objectives into the next quarter?

Yes, through the Quarter Planning Wizard under Team (available to managers and anyone with direct reports when the Quarterly Planning toggle is on). Select the objectives you want to carry forward and use Rollover. Each selected objective is cloned into the next quarter with progress reset to zero, status set to draft, and all key results copied with their values reset.

How does the approval workflow work?

Approval is off by default. An administrator can turn it on per level — separately for company, department, team, and individual objectives. When enabled, an objective owner submits the objective for approval and it shows Awaiting approval. The owner’s manager gets an “Objective awaiting your approval” notice and clicks Approve or Reject; an admin, an OKR Hub app admin or HR can also approve anyone’s objective but their own. When the owner’s manager has left, the next active manager above them is asked instead. When the owner has no manager in the company, OKR Hub’s app admins are asked; with no app admins, nobody is notified and the objective’s page says so — an admin or HR approves it on the objective’s page (or from Approve Objectives while Quarterly Planning is on). If the owner’s manager changes, or the person asked leaves or loses the right to approve while it waits, the request moves to whoever decides it now. An approved objective shows Approved and its owner activates it; a rejected one shows Sent back for changes with the reason, and its owner can edit it and submit it again.

While it waits, the owner can use Withdraw from approval on the objective’s page to take it back to draft. If an administrator turns approval off for a level, the objectives already waiting at that level go back to draft, so their owners can activate them.

Bulk approve and reject are on the Approve Objectives page (under Team for managers, under My Work for app admins and HR without a team), which needs the Quarterly Planning toggle on; the Approve button on the objective’s own page always works. The page’s Decided by me tab lists the objectives you approved or rejected in the last 90 days.

What does following an objective do?

Click Follow on an objective to be notified when it or its key results are edited, completed or cancelled. Progress people log is not sent to followers.

When something looks wrong

My progress bar is red even though we’re making progress — what’s wrong?

The traffic-light colors follow the thresholds in OKR Hub Settings. By default, progress at or above 80% (Green At or Above) is green (On track), 70–79% (Yellow From 70%) is yellow (Needs attention), and below 70% is red (Off track). An admin can change both thresholds; yellow must be lower than green. An active objective whose progress would be green but is behind pace for the time elapsed shows yellow.

I updated a key result but the objective progress didn’t change

If the objective’s progress mode is set to Manual, key-result progress does not roll up automatically. Switch it to Auto or Hybrid on the objective’s edit page. Also check that the key result’s target value is not zero — progress cannot be calculated against a zero target.

I can’t edit my comment any more — it was only posted a few minutes ago

Comment authors can edit their own comments for 15 minutes after posting. After that window closes only an admin or an OKR Hub app admin can edit the comment. Authors, admins and OKR Hub app admins can always delete a comment; managers can delete comments on objectives owned by people they manage.

Why didn’t my team get check-in reminders?

Check four things:

  • Automated Check-ins & Reminders is on under Setup → Feature Toggles. Off, it stops check-in creation and every OKR reminder.
  • Generate Check-ins & Check-in Reminders is on in OKR Hub Settings. Off, it stops check-in creation and check-in reminders only; the weekly digest and the at-risk, overdue and quarter-end alerts keep running.
  • The person has a pending check-in due within three days and not more than 30 days overdue.
  • It is the Reminder Day set in OKR Hub Settings (default: Thursday). Reminders go out that morning, UTC.

People with no email address get the reminder in OKR Hub’s notifications only.

Why didn’t someone get the at-risk, overdue or quarter-end alert?

These alerts go to the objective’s owner and also to the owner and co-owners of the key result concerned. Check that the alert’s switch is on in OKR Hub Settings (Alert At-Risk OKRs, Overdue Key Result Alerts, Quarter End Reminders) and that Automated Check-ins & Reminders is on under Feature Toggles. At-risk alerts go out on Wednesdays, overdue alerts daily, and quarter-end reminders 30, 14, 7, 3 and 1 days before the fiscal quarter ends. Each of these alerts, and the weekly digest, also appears in OKR Hub’s notifications, so people with no email address still get them.

AI features

What can AI do in OKR Hub, and can I turn it off?

There are two separate AI features, each with its own switch:

  • AI Insights (under Setup → Feature Toggles, on by default) controls the AI Assistant on the objective pages: suggest key results from an objective’s title, score an OKR’s quality against best practices, check it against SMART criteria, predict how likely it is to be achieved, and suggest improvements. The assistant only suggests — nothing it produces is saved unless a person adds it and saves.
  • Enable OKR Agent (in Setup → OKR Hub Settings, on by default) controls Ask AI’s OKR agent, which answers questions about OKRs and can update key-result progress and activate or complete objectives, each only after the person asking confirms.

Turning off AI Insights does not turn off the OKR agent, and turning off the agent does not remove the AI Assistant.
