Microsoft Teams — Notifications, Approvals, Must-Reads and /mango Commands

Microsoft Teams

1. What it is

Connecting Microsoft Teams lets MangoApps meet people where they already chat. Once someone adds the MangoApps Workforce app in Teams, their approvals arrive in that chat: Service Desk requests, change requests and recognition nominations, with Approve and Decline on the card.

They can also use /mango commands to raise tickets or recognize a colleague. Admins can post a notice about a Communication (a sign-in link to read it) and shared items to Teams channels. If you turn it on, each person asked to acknowledge a must-read also gets it privately in Teams, with an Acknowledge button.

  • Enablement: it takes two admins. Your MangoApps administrator connects Teams. Your Teams administrator makes the MangoApps Workforce app available in your organization.
  • What it is not: asking Microsoft 365 Copilot about MangoApps work is a separate feature, controlled in Admin → Security → Connectors. See AI Assistants.

2. Standing it up

  1. Go to Admin → Organization → Integrations, choose Manage Messaging & Sharing, then Connect Teams on the Microsoft Teams card. Sign in with a Microsoft 365 account that can approve apps for your organization, and approve.
If Connect Teams is greyed out, MangoApps hasn’t finished setting up Teams for your environment. Contact support.
  2. Choose the Team (or Teams) MangoApps may post into, then Save Teams.
  3. On the Microsoft Teams page, under Add App, pick an app and tick what it may do: Slash Commands, Notifications and Channel Posting. Communications needs a channel chosen here. The Commands card on the right shows which commands are now on.
  4. Ask your Teams administrator to make the MangoApps Workforce app available to your people in the Teams admin center.
  5. Tell your people. The Tell your employees card has a message ready to copy and send. Each person adds the app in Teams (Apps, search for MangoApps Workforce, Add).
  6. Optional: on the Must-read messages card, tick Send must-reads as direct messages and Save. It is off until you do.
  7. To check it works, add the app yourself. It sends a welcome message listing the commands you can use.

Two pairings catch admins out. Nothing reaches a person in Teams until that person has added the app, however the page is set up. And the Must-read messages card only offers its switch once Communications, Sites or SOP Hub is turned on for your organization.

If people who add the app are told Teams isn’t connected although it is, your connection predates MangoApps recording your Microsoft 365 organization. Disconnect and connect Teams again once.

3. How it fits together

People are matched by work email. When someone adds the app or writes to it, MangoApps asks Teams for their work email. It must match their MangoApps email. Only people who are active in your organization are matched. If someone can’t be matched, the welcome message says so.

Messages need the app added. MangoApps can only send someone a message in Teams after they have added the app. Until then MangoApps reaches them through its other notifications, as your notification settings allow.

A command runs only when two things are true. Its app was added with Slash Commands ticked, and the person has access to that app in MangoApps. /mango help lists what that person can use. The app’s command menu shows every command, whether or not it is turned on.

Your own records stay private. In a channel or group chat everyone sees the reply. So commands that show your own records (/mango mytickets, /mango ticket_status, /mango myrecognition) answer only in a 1:1 chat with the app.

Buttons act for the person who clicks. Approve and Decline check that the clicker is allowed to decide. The result is posted in the chat.

If Teams isn’t connected. Someone who adds the app or writes to it before your organization has connected Teams is told to ask their MangoApps admin.

Must-read messages

A must-read message is a private Teams message about something a person has been asked to acknowledge or complete. It is separate from the channel notice Communications posts: that notice goes to a channel, while a must-read message goes to one person. Channel posts are unchanged when you turn this on.

It is sent for four kinds of item, at the moment the item is sent:

What was sent What the person gets in Teams
A must-read post Title, an “In short” summary, a link, and an Acknowledge button
A broadcast that asks for acknowledgement The same, with Acknowledge
A Sites page published with Ask readers to confirm they’ve read it Title, summary and a link only. They confirm on the page itself.
An SOP that people are asked to complete Title, summary and a link only. They complete it in SOP Hub.

The “In short” summary is written by AI, and the message says so. Each message also names who sent the item and, when there is one, the date it is due.

For example, HR publishes a must-read post, “Updated uniform policy”, to the Warehouse team. Each person on that team who has added the app gets a private card from MangoApps Communications. One tap on Acknowledge records it for them, exactly as if they had acknowledged it in MangoApps, and the card then reads “✓ You acknowledged this.”

It is set per connection. The switch on the Microsoft Teams page governs Teams only. Slack has its own, on the Slack page, and both can be on at once.

Only the people still being asked get one. The item’s author is left out. So is anyone who is no longer active or has already acknowledged. The same item never reaches a person twice on the same connection.

It follows the item’s own delivery rules. A broadcast’s delivery window applies. Defer off-shift people to their next shift holds an off-shift person’s message until their shift starts. Only people currently on shift never sends it to someone off shift. Your off-shift protection (Right to Disconnect) holds back ordinary items, just as it holds back their push notification. Must-read posts and critical broadcasts are sent straight away. Anyone held back still finds the item in MangoApps.

It uses each person’s language. The title and summary arrive in the language the person reads that item in. The card’s own labels follow their display language.

The Acknowledge button acts only for the person it was sent to. If someone else presses it, nothing is recorded. The button works for 30 days. After that it points the person to MangoApps to acknowledge there.

Only new items are messaged. Turning the switch on does not send messages about items that were already sent.

Ask AI in Teams. Off by default. When an admin ticks Let people ask Ask AI in Teams on the Microsoft Teams page’s Ask AI card, people can type /mango ask followed by a question, or simply chat with the MangoApps Workforce app. Anything that isn’t a /mango command goes to Ask AI. They can also @mention the app in a channel or group chat. If the card says Not available yet, MangoApps hasn’t finished setting up its Teams bot for your environment.

Answers use the person’s own MangoApps access and need Ask AI to be available to them. In a channel or group chat, personal questions (pay, leave, reviews and the like) are not answered, and nothing is changed; the reply says to ask privately. A change that someone asks for privately shows a card with Approve and Decline. Only the person who asked can approve it, it expires after 10 minutes, and it works once.

4. Running it

Change what an app may do in Teams

  1. Open Admin → Organization → Integrations → Manage Messaging & Sharing, then the Microsoft Teams page.
  2. Under Registered Apps, each app lists its features (Commands, Notifications, Channels).
  3. To change them, add the app again under Add App with the new ticks. The ✕ removes it.

Turn must-read messages on or off

  1. On the Microsoft Teams page, find the Must-read messages card.
  2. Tick or clear Send must-reads as direct messages, then Save.
  3. If the card says Not available yet, MangoApps hasn’t finished setting up its Teams bot for your environment. If it asks you to turn on Communications, Sites or SOP Hub, do that in Admin → Apps → All Apps first.

Disconnect Teams

Disconnect is on both the Messaging page and the Microsoft Teams page. It stops everything in this article, must-read messages included. Connecting again brings back the apps and settings you had.
