Shift Feedback App Overview

Shift Feedback

1. What it is

Shift Feedback collects a quick rating from employees right after they check out of a shift. Each submission is tied to a specific attendance record and includes a 1–5 star rating, an optional descriptive tag (such as “Understaffed” or “Good team”), and an optional written comment. Managers are notified immediately (with Who Can Read Feedback set to administrators only, just those who can open it) — when a rating falls at or below a threshold you set, a low-rating alert goes out in place of the routine notice. Notices about an anonymous submission go out on a quarter hour of the clock, at least 15 minutes after the shift’s last check-out (or, if someone stays clocked in, within 12 hours of the shift’s end or of the rating, whichever comes first) — or, for a rating sent after that, on the hour at least an hour later — so their timing doesn’t point to one person.

Enablement: Shift Feedback is a licensed app. An admin enables it from Admin → Apps → All Apps, then configures collection rules under the app’s Settings tab.

What it is not: Shift Feedback is not a general-purpose survey tool. It captures one response per employee per completed shift, prompted at check-out time. For broader employee surveys, use the Surveys app.

2. Standing it up

  1. Go to Admin → Apps → All Apps → Shift Feedback and enable the app for your business.
  2. Open the Settings tab inside the Shift Feedback app. Confirm that Enable Feedback Collection is on (it defaults to on). Without this toggle, the app is installed but employees are never prompted.
  3. Review the Feedback Window setting. This controls how long after a shift checkout an employee can still submit feedback. The default is 1 week (168 hours). The reminder delay set under Send the Reminder After must be shorter than this window. If you pick a combination where it is not (for example a 24-hour window with a 48-hour delay), the reminder job clamps the delay to just inside the window and logs that it did, so reminders keep going out rather than stopping silently — but the Settings page still shows the value you picked, so set the two deliberately.
  4. Under Notification Settings, confirm Notify Managers of New Feedback and Alert on Low Ratings are on (both default to on). Set the Low Rating Alert Threshold to the star level that should trigger a low-rating alert to managers (default is 2 stars or below).
  5. Verify it works: have a test employee complete a shift and check out. On their Attendance page and on the Shift Feedback Home tab, a “How were your recent shifts?” card should appear listing that shift with a Give Feedback button. After they submit, the shift’s manager should receive a notification.

Silent-dependency warning: Shift Feedback relies on completed attendance records. If your employees are not checking in and out (through the web, the mobile app, or a time-clock kiosk), there are no attendance records to attach feedback to, and the app has nothing to collect.

3. How it fits together

Feedback and attendance records. Every feedback submission is linked to exactly one attendance record, which in turn belongs to one shift. An employee can submit feedback only once per attendance record. This one-to-one link means each rating maps to a specific shift on a specific date at a specific location, so managers can trace a low rating back to exactly what was happening that day.

Eligibility rules. Not every completed shift is eligible for feedback. The system considers three factors: the employee must have checked out, the checkout must fall within the Feedback Window (default 1 week), and the shift must be among the employee’s most recent completed shifts up to the Maximum Feedback Eligible Shifts limit (default 3). Ad-hoc shifts and early checkouts are excluded by default; you can include them under Shift Type Exclusions in Settings.

For example, if an employee completes shifts on Monday, Tuesday, and Wednesday, and the limit is 3, all three are eligible. If they complete a fourth on Thursday without having submitted feedback for Monday, Monday drops off the eligible list and only Tuesday, Wednesday, and Thursday appear.

Tags. Each submission can carry one primary tag from a predefined set: Busy, Calm, Stressful, Understaffed, Well managed, Equipment issues, Technical problems, Good team, and Difficult customers. If Allow Custom Tags is on, the feedback form also shows a free-text field where the submitter can type a tag of up to 50 characters. Tags appear in the All Shift Feedback list and in trend analysis.

Anonymous submissions. When Allow Anonymous Feedback is on (the default), the feedback form includes a “Submit anonymously” toggle. Anonymous submissions never show the sender’s name — not in the All Shift Feedback list, the detail view, CSV exports or Ask AI responses. Managers see “Anonymous” in place of the employee name, and see an anonymous submission at all only for a shift at least five people worked (more if your company raised its smallest group size). Admins and Shift Feedback app admins see every anonymous submission, with its shift, location and when it was sent — on a small shift, that is enough to tell who sent it. The form tells the worker this beside the Submit anonymously switch.

Mango Signal integration. Every feedback submission is sent to Mango Signal as a sentiment signal. The 1–5 rating is mapped onto Mango Signal’s −1 to 1 sentiment scale, with 3 stars as neutral. Anonymous submissions are segmented separately and recorded with their day only, not the time they were sent. This means shift-level sentiment appears in the cross-app workforce analytics layer without any extra configuration.

4. Running it

Reviewing feedback

Managers and admins see an All Shift Feedback tab with a filterable list of every submission they are allowed to see. Filters include rating (including Low ratings, everything at or below your Low Rating Alert Threshold), location, and the date it was submitted. Summary stats at the top show total feedback count, unique employees, and average rating — all scoped to the active filters.

Each row shows the date it was submitted, employee name (or “Anonymous”), shift and location, star rating, tags, and a preview of any written comment. Click a row to open the full detail view with the complete written feedback.

Who can see what: admins and Shift Feedback app admins see all feedback across the business. Managers see feedback from the locations their organizational role covers together with feedback from their own direct reports, wherever those people worked. Regular employees see only their own submissions on the Home tab.

Exporting feedback data

From the All Shift Feedback tab, click Export CSV to download all submissions matching the current filters. The export button only appears when Enable Data Export is on in Settings.

When Enable Trend Analysis is on, the All Shift Feedback page shows company administrators and Shift Feedback app admins a Feedback Trends panel with AI-generated insights — alerts for declining ratings, rising negative tags, and weekly rating charts. This uses the same analytics infrastructure as other MangoApps insight panels.

Using Ask AI

The Shift Feedback agent lets users interact with feedback data through Ask AI. Employees can ask about their own feedback history. Managers can ask for a period’s feedback summary (to compare periods, ask for each) and specific submission details scoped to their team. The agent can also submit feedback on the employee’s behalf for an eligible shift if asked.

The agent is on by default. Disable it from the Shift Feedback Agent card at the top of Settings.

Mobile and kiosk

Employees can submit feedback from the mobile app at /m/apps/shift-feedback, which shows their feedback history, eligible shifts, and a submission form.

On time-clock kiosks, the feedback prompt appears automatically after clock-out. The employee sees the rating tiles, optional tag selector, optional anonymous toggle, and a notes field right on the kiosk screen — no separate navigation required. The kiosk respects all the same configuration toggles as the web form (feedback collection, tags, anonymity, ad-hoc exclusion).

5. Settings

All settings are under Shift Feedback → Settings.

Feedback Collection Settings

Setting Default What it changes
Enable Feedback Collection On Master switch. When off, no employee is prompted and no submission is accepted — on any surface.
Require Rating On When on, the star rating is mandatory. When off, employees can submit tags and comments without a rating.
Maximum Feedback Eligible Shifts 3 shifts How many of the employee’s most recent completed shifts are eligible for feedback at any given time.
Feedback Window 168 hours (1 week) How long after checkout the employee can still submit feedback for that shift.
Allow Anonymous Feedback On Shows the “Submit anonymously” toggle on the feedback form.
Screen Feedback for Offensive Content On Checks submitted comments and custom tags against your company’s content rules before they are saved. Turning this off stores what employees write without screening it.

Shift Type Exclusions

Setting Default What it changes
Collect Feedback on Ad-Hoc Shifts Off When off, ad-hoc (unscheduled) shifts are excluded from feedback eligibility.
Collect Feedback on Early Checkouts Off When off, shifts where the employee checked out more than 1 hour before the scheduled end are excluded.

Feedback Tags Settings

Setting Default What it changes
Enable Feedback Tags On Shows the tag selector on the feedback form. When off, only rating and free-text comment are collected.
Allow Custom Tags Off Adds a free-text “Add a custom tag” field to the form so employees can name something the default tags don’t cover. Custom tags are limited to 50 characters.

Notification Settings

Setting Default What it changes
Notify Managers of New Feedback On Sends an in-app notification to the shift’s managers (or, for a shift with none, its location’s admins) and, for named feedback, the employee’s direct manager when feedback is submitted.
Alert on Low Ratings On In place of the new-feedback notice, sends a notification and a mobile push to the same managers when a rating is at or below the threshold.
Low Rating Alert Threshold 2 stars or below The rating at or below which the low-rating alert fires.
Send Feedback Reminders On Sends a notification and a mobile push to employees who have eligible shifts without feedback. The job runs hourly and honours the delay set below.
Send the Reminder After 48 hours after check-out How long after check-out the single reminder is sent. Each shift is reminded at most once. A longer delay means more employees submit on their own first and are never reminded at all.

Analytics and Reporting

Setting Default What it changes
Show Feedback Statistics On Shows the rating and response-rate figures on Home and All Shift Feedback, and lets Ask AI answer questions about them. When off, those numbers are hidden from everyone, including managers, and the agent’s summary tool refuses.
Show Response Rates On Adds a Response Rate card (last 30 days) to the stat strips.
Enable Trend Analysis On Shows the AI-generated Feedback Trends panel on the All Shift Feedback page to company administrators and Shift Feedback app admins.
Enable Data Export On Shows the Export CSV button on the All Shift Feedback page. When off, CSV export is blocked on both the app and legacy admin endpoints.

AI Agent

Setting Default What it changes
Enable AI Agent On When off, the Shift Feedback agent is unavailable in Ask AI.

API access

Shift Feedback has a REST API at /api/v1/shift_feedbacks. Employees can list their own feedback, submit new feedback, update or delete submissions within 24 hours, and query which shifts are eligible. API tokens require the read:shift_feedback or write:shift_feedback scope.
