Training App Overview

Training

1. What it is

Training is a native learning management system. Admins author courses from text, video, documents, SCORM packages, licensed partner content or AI roleplay practice. They sequence courses into learning paths, gate progress with quizzes, and issue branded certificates on completion. Courses can also award skills and certifications to the employee’s Skills & Certifications profile.

  • Enablement: Training requires a licence and is off by default. An admin enables it from Admin → Apps → All Apps.
  • Who administers it: a Training admin is anyone who is an HR Admin, an Admin or above, or an app admin for Training.
  • Where learners use it: on the web, on a phone browser, and in the native mobile app. The mobile app shows Training as a bottom bar of tabs: My Learning, Catalog, My Records, and My Team for people managers. Authoring, enrolling and settings are admin work and stay on the web.
  • What it is not: Training is not Training Connect. Training Connect is a separate app that syncs with an external LMS (Cornerstone, Workday, etc.). Training is the native, built-in LMS.

2. Standing it up

  1. Go to Admin → Apps → All Apps → Training and enable the app for your business.
  2. Go to Training → Settings and review the defaults. The three that matter most up front:
    • Allow Self-Enrollment (on by default) — lets employees browse the catalog and enroll themselves. Turn it off if every enrollment must be admin-assigned.
    • Require Passing Quiz (on by default) — learners must pass every required quiz lesson before the course marks as complete.
    • Manager Notifications (on by default) — emails a learner’s manager when they complete a course.
  3. Create at least one course (Training → Content → Courses → New Course). Choose a Delivery Mode: Self-paced (learners work through lessons on their own) or Instructor-led (learners register for scheduled sessions).
  4. Publish the course. A self-paced course needs at least one lesson before it can be published. An instructor-led course is delivered in sessions, so it can be published without lessons. Until published, a course is a draft visible only to admins.
  5. Enroll learners — manually from Enrollments → Manage Enrollments, through an automation (Enrollments → Automations), or by letting employees self-enroll from the Course Catalog.
  6. Confirm it worked: enrolled employees see the course on their My Learning page. Admins see enrollment counts on the Dashboard.

Silent-until-paired: An instructor-led course is assignable the moment it is published, but learners cannot actually attend until an admin schedules at least one session on the course’s Sessions tab. An automation that assigns a required instructor-led course with no upcoming session warns you about it.

Optionally, set up Categories and Custom Fields (both under Content) to organize courses and add structured metadata such as regulation type or audience.

Optionally, require approval before a course goes live: under Admin → Approval Workflows, create an enabled workflow for Training with the Course publication process and at least one approval level. From then on, Training admins and the course’s Instructors see Submit for approval where Publish was, and Withdraw request while it is pending. Approval does not publish the course: Publish is offered once the request is approved. For a self-paced course, an approval covers the one draft version it was submitted for, so each new version needs its own. Publishing again a course that was live before (after Unpublish) needs no new approval.

3. How it fits together

Courses and lessons — A course is the unit of learning. Each course contains lessons, and each lesson is one of seven types: text, video, document, quiz, SCORM, partner course (licensed content from Go1 or another partner), or practice (an AI roleplay scenario from Practice Hub that the learner must pass). The practice type is offered only when Practice Hub is enabled. Each lesson can be marked required or optional; only required lessons count toward completion progress.

Video lessons — YouTube, Bunny and uploaded videos play inside the lesson. Links to Vimeo, Loom or Wistia are shown as a link that opens the video in a new tab.

Course versions — Courses are versioned. Admins edit a draft version while the published version stays live. When the draft is published it becomes the new live version. A learner is pinned to the version they started on, so mid-course edits do not disrupt them.

Learning paths — A learning path groups courses into an ordered sequence of steps. Each step holds one or more courses and can be required or optional. Completing every required step completes the path, which can issue its own certificate and skill awards.

Enrollments — An enrollment ties one learner to one course. It tracks status (Enrolled, In Progress, Completed, Cancelled), progress, due date, and start and completion dates. Learning paths have their own enrollment, separate from the course enrollments inside the path.

Attempts — A learner can hold several enrollments on the same course over time. Each one is an attempt. Only one is the current attempt, and only one can be active (Enrolled or In Progress) at a time. Nobody owes the same course twice at once, and their whole history is kept.

Re-assigning a course does not overwrite the old record. It adds a new attempt and marks the previous one superseded. The earlier attempt keeps its status, progress, quiz results and certificate.

A three-attempt history reads like this:

Attempt 1 Completed 100% Jan 2025 certificate issued (superseded)
Attempt 2 Cancelled 45% Jun 2025 cancelled on re-assign (superseded)
Attempt 3 Enrolled 0% Aug 2025 ← current

Open it from any learner’s row on the Enrollments page: the row menu’s View History item opens the Attempt history dialog. The list itself shows one row per learner — the current attempt.

Two things admins conflate here. Reset Progress wipes the current attempt back to zero and leaves no record that the learner got further. Re-assigning starts a clean attempt and keeps the old one as evidence. For a re-certification, an audit, or anything you may need to prove later, re-assign — do not reset. A third action, Remove, takes the assignment off the learner’s list entirely.

Cancelled is not the same as failed. A cancelled attempt was closed out on purpose, with its progress frozen where it stood. A completed attempt is never cancelled: an earned certificate always stands.

Self-paced vs. instructor-led — Instructor-led courses run in scheduled sessions: classroom, webinar or hybrid. Sessions have a capacity, a waitlist and an instructor. The admin schedules sessions; the learner picks one.

Training admins vs. per-course roles — Training admins run everything. Beyond them, each course can have Instructors (can edit that course’s content) and Coordinators (can manage that course’s enrollments). Neither role reaches other courses or the Training settings. Separately, the Permissions settings let you extend three abilities past Training admins: creating courses, assigning training, and viewing reports.

Certificates — When a course or learning path requires a certificate, completing it issues a branded PDF with a unique certificate number that anyone can verify. Design templates under Content → Certificate Templates. Each course uses a chosen template or falls back to the business default.

Quizzes — Quizzes are standalone items attached to courses as quiz lessons. Each has a passing score, and can add a time limit, an attempt limit and shuffled questions. When Require Passing Quiz is on, every required quiz lesson must be passed before the course completes.

Skills & certifications — A course or learning path can award skills or certifications from the Skills & Certifications catalog on completion. The award happens automatically in the background. How long a course-awarded skill stays valid comes from the course’s own Certificate Validity, or from Default Certificate Expiry when the course sets none.

Prerequisites — A course can require other courses to be completed first. A prerequisite can be one of your own courses or a system course.

Selling courses — Commerce is off by default. Turning on Sell Courses adds a Commerce section (Purchases, Promo Codes, Bundles) and the learner’s cart, wishlist, purchase history and gifts. Licensing partner content does not need it.

Cross-app integrations:

  • Skills & Certifications — course completions grant skills. Inspections and Frontline Execution can require a training course before work begins.
  • SOP Hub — completing a course linked to an SOP automatically verifies the SOP’s training requirement.
  • Recognitions — a course completion can create an automatic recognition.
  • Levels & Badges — completing a course awards points.
  • Policy Hub — policies can link to required training courses.
  • Onboarding Hub — onboarding plans can include training courses.

4. Running it

Enrolling learners

  1. Go to Training → Enrollments and click Enroll Users.
  2. Pick the course or learning path, choose the people, and optionally set a due date.
  3. Enrolled learners receive an email and see the course on their My Learning page.

Re-assigning training someone already has

Re-assignment is part of the enrolling flow, not a per-row action. Only people in your selection who already hold a record are affected.

  1. In Enroll Users, pick the course or learning path and the audience as normal.
  2. Under If someone already has this, choose one of:
    • Skip them (the default) — nobody who already has it is touched, finished or not.
    • New attempt if completed — only people who finished it get a new attempt.
    • New attempt even if not completed — everyone who has it gets a new attempt. Unfinished attempts are cancelled and kept as a dated record.
  3. For a learning path only, choose under For a learning path, the new attempt counts:
    • Honor prior completions (the default) — courses already finished still count, so the new attempt starts part-way through.
    • Force retake — the new attempt starts at 0% and every course is taken again. Use this after a policy change invalidates old completions.
  4. Enroll. The result reports how many were re-assigned and how many were skipped.

A course retake always starts at zero, which is why the second choice appears only for learning paths.

Letting learners retake a course themselves. Turn on Allow Self Retake on the course. A learner who completed it then sees a Retake course button; their earlier completion and certificate stay on their transcript, marked superseded.

Setting up enrollment automations

  1. Go to Training → Enrollments → Automations and create a new one.
  2. Choose what it does: Assign training to people or Send reminders & messages.
  3. Choose a trigger: Calendar Date, User Profile Date (such as hire date), On Course Completion, Certificate Expiry, or Attribute Change.
  4. Define the audience: All Network Users, Specific Users, or Select User Criteria (department, location, role and so on).
  5. Add the courses or learning paths, with optional due-date offsets, and choose Assign, Reassign or Assign & Reassign for each.
  6. Activate the rule. It runs on its trigger, and Run Now on its detail page runs it on demand. For a User Profile Date, On Course Completion or Certificate Expiry automation, Run Now enrolls only the people that day’s run would, not everyone the criteria cover.

Due-date and overdue reminders go out without an automation. Each morning, learners are reminded 7, 3 and 1 day before a course or learning path is due, then weekly while it is overdue, for up to 90 days. A Send reminders & messages automation that covers a course replaces those reminders for that course with its own schedule and recipients.

Licensing partner content

Partner content lives under Content → Partner content. Browse licensed courses in Partner Catalog and manage seat-based licences in Course Licenses. A partner course plays as an ordinary lesson inside a native course, so the learner never leaves the platform.

Reviewing analytics and reports

  1. Training → Insights → Analytics shows enrollment counts, completion rates and top courses over a date range you choose.
  2. Training → Insights → Reports offers six reports, each exportable to CSV: Enrollment, Completion, Learner Progress, Quiz Performance, Compliance Status, and Learning Path Progress.
  3. To have a report emailed on a cadence, click Schedule on its page. The schedule keeps the filters on screen. Choose daily, weekly or monthly and up to 50 recipients. Each send goes out at 7:00 AM in your organization’s time zone, with the CSV attached. Recipients must be people allowed by Who can view training reports?. Open Scheduled reports on the Reports page to Edit, Pause, Send now or Delete a schedule. Training admins see every schedule; other report viewers see their own.

The Compliance Status report covers training that has a due date. It opens on training that is overdue or due in the next 7 days. Narrow it by Course and Department (the learner’s department). The Compliance Status filter switches between Overdue or due soon, Overdue, Due soon, Completed and All. For the two “due soon” views, Due within sets how far ahead to look: 24 hours, 7 days, 14 days or 30 days. Cancelled enrollments never appear. Export CSV uses the same filters.

Using AI to create content

Three AI tools help authors, and each has its own switches in Settings:

  • The Training Agent in Ask AI. A Training admin can ask it to generate a course from a topic, convert a PDF, PowerPoint or Word document into a course, generate quiz questions, or translate a course. Course Instructors can also ask it to rewrite lesson text on their own courses. Courses it creates are saved unpublished for review.
  • Create from Document. A Training admin can also upload the file directly at Training → Content → Courses → Create from Document: a PDF or an image, up to 15MB (save Word and PowerPoint files as PDF first). Optionally set a course title and draft a ten-question quiz from the content. The course is saved as a draft; nobody is enrolled and nothing is published.
  • Describe-to-Fill. A bar at the top of the course, lesson, quiz, learning path and certificate template forms. The author describes what they want and AI drafts the form fields. It never saves anything on its own.

5. Settings

All settings are at Training → Settings. Defaults below apply until an admin saves a different value.

Setting Section Default What it changes
Allow Self-Enrollment General Settings On Off, only admins and automations can enroll learners.
Require Passing Quiz General Settings On Learners must pass every required quiz lesson before a course completes. Admins can still mark an enrollment complete.
Manager Notifications General Settings On Emails a manager when one of their reports completes a course. Also controls the manager copy on reminder automations set to “Learner & Manager”.
Send Training admin alerts to this group General Settings Blank Names a group (your L&D team, whoever owns a partner contract) to be told about partner-content and quiz alerts as well. A lesson a learner cannot play goes to the course’s Instructors and Coordinators, a partner licence notice to whoever bought the licence, and a learner who has used up their quiz attempts to their manager and the course’s Instructors and Coordinators. When one of those has nobody to tell, the group is told instead of the Training app admins and the other people the alert would fall back to, so add anyone who should still hear of it to the group. Blank, a blocked lesson on such a course goes to the Training app admins, then to anyone who holds those roles on another course or is designated HR staff, and only then to every business administrator.
Sell Courses General Settings Off Shows the Commerce section and the learner’s cart, wishlist, purchase history and gifts.
Default Certificate Expiry General Settings No Expiry How long a course completion stays valid when the course sets no Certificate Validity of its own.
Enable Training Agent Training Agent On Lets people ask the Training Agent questions in Ask AI.
Auto-assign required training to new hires Training Agent → Autonomous Operations Off Enrolls people hired in the last 30 days in the training your rules say they need.
Remind employees about expiring certifications Training Agent → Autonomous Operations Off Warns employees whose course-awarded certification is close to expiring.
Certification reminder lead time Training Agent → Autonomous Operations 7 days How many days before expiry that warning goes out.
Enable AI Course Generation · Document to Course Conversion · AI Quiz Generation · AI Lesson Text Editing · AI Course Translation AI Content Creation On Each switch turns the matching Training Agent ability on or off. Document to Course Conversion also shows or hides the Create from Document button on the Courses page.
Enable AI Describe-to-Fill on authoring forms AI Content Creation On Off, the Describe-to-Fill bar is not shown.
Who can create a course? · Who can assign training to other people? · Who can view training reports? Permissions Training admins only Extends each ability to groups you choose. Assigning training can also go to managers, for their own direct reports only.
Portal Title Learner Portal Branding My Learning The learner home heading and its sidebar label, on the web and the mobile app.
Welcome Message Learner Portal Branding “Track your learning progress and complete assigned training” The message under the learner home heading.
Hide ‘Powered by MangoApps’ Footer Learner Portal Branding Off Removes MangoApps branding from the learner portal footer.
Accent Color Learner Portal Branding Blank (your company brand color) Recolors highlights, buttons and progress bars in the learner portal only.

The two Autonomous Operations switches do nothing until autonomous operations are switched on in the AI Console. New businesses start in approval mode, so each action waits for a person to approve it.
